Shipping & Refund Policy

1. Policy Overview and Commercial Context

This Shipping and Refund Policy defines how vape OEM manufacturing orders, private label production projects, and wholesale distribution shipments are processed, delivered, and managed within international supply chains.

In the vape industry, logistics cannot be separated from compliance and manufacturing because products are regulated goods in most global markets. This means shipping decisions must consider regulatory frameworks, customs classification, and product compliance before goods are released from production facilities.

This policy applies to all business clients including distributors, importers, trading companies, and private label vape brands operating in international markets.

2. Integrated Vape Supply Chain Structure

The vape OEM supply chain is composed of multiple interconnected stages including product design, hardware selection, sampling, packaging development, regulatory alignment, production scheduling, quality inspection, logistics coordination, and customs clearance preparation.

Each stage depends on the completion of the previous one. For example, packaging design cannot proceed without confirming regulatory requirements for the destination market, such as nicotine labeling rules or warning label placement requirements.

Similarly, shipping cannot be initiated until compliance verification and production quality inspection have been completed.

3. Market-Based Shipping Variations

Different markets impose different regulatory requirements that directly affect shipping preparation and documentation.

In the European Union, vape products must comply with TPD regulations including nicotine limits of 20mg/ml, 2ml tank restrictions for certain categories, and mandatory health warning labels in local languages.

In the United States, regulatory considerations include FDA classification frameworks that may require additional documentation depending on product type and nicotine content.

Middle Eastern countries may require import permits or tobacco control approvals, while Southeast Asian markets may restrict nicotine strength or device categories depending on national laws.

4. OEM Production and Pre-Shipment Workflow

Before shipment begins, vape OEM products must pass multiple production stages including sample confirmation, packaging approval, hardware assembly, filling (if applicable), and internal quality inspection.

For example, a disposable vape OEM project may involve selecting battery capacity, defining puff count, testing flavor profiles, and verifying packaging compliance before mass production is approved.

Once production is completed, goods undergo final inspection to ensure consistency before being transferred to logistics partners for export processing.

5. Freight and Logistics Strategy in Vape Industry

Shipping methods are selected based on order size, urgency, and destination requirements. Air freight is typically used for small batch shipments or market testing orders, while sea freight is used for large-scale distributor replenishment orders.

For example, a European distributor launching a new vape brand may first import a small batch via air freight to test demand before switching to sea freight for long-term distribution.

Logistics coordination also includes preparation of shipping documents such as invoices, packing lists, compliance certificates, and export declarations.

6. Customs Clearance and Regulatory Inspection Risk

Vape products are classified as regulated goods in most countries, meaning customs authorities may inspect shipments for compliance with nicotine limits, labeling requirements, and packaging regulations.

In the European Union, customs authorities may reject shipments that exceed nicotine thresholds or lack mandatory health warnings. In the United States, shipments may be held for FDA-related classification review depending on product type.

Customs clearance outcomes depend heavily on whether the product has been properly aligned with destination market regulations before shipment.

7. Industry Scenario: European Distribution Case

A vape distributor in Germany ordering disposable vape products must ensure compliance with EU TPD regulations before shipment. This includes nicotine limits, labeling requirements, and packaging language compliance.

If any of these requirements are not met, customs authorities may delay or reject the shipment until corrections are made.

8. Industry Scenario: US Import Case

A US-based importer launching a private label vape brand must ensure product classification aligns with FDA expectations. If classification documentation is incomplete, shipments may be delayed during customs inspection or regulatory review.

9. Refund Policy for OEM Manufacturing

Due to the customized nature of vape OEM production, refund policies are strictly limited once production begins. Each product is manufactured based on client-approved specifications including branding, packaging design, and hardware configuration.

Once materials are allocated and production lines are configured, reversing production becomes operationally impractical, which is why refund conditions are limited at this stage.

However, if quality issues are identified, we may offer corrective solutions including replacement production batches or partial compensation depending on case evaluation.

10. Quality Inspection and Exception Handling

All vape products undergo quality control inspection during production to ensure consistency and compliance with specifications. If defects or inconsistencies are identified upon arrival, clients may submit evidence for review.

11. Force Majeure and External Disruptions

We are not responsible for delays caused by customs inspections, regulatory changes, logistics disruptions, or external transportation issues beyond our control.

12. Commercial Importance of Shipping Compliance

Shipping compliance is a critical component of the vape OEM supply chain. Proper regulatory alignment reduces customs risks, improves delivery stability, and ensures smoother international distribution for vape brands and wholesalers.
